All members are expected to focus on the patient`s needs; relate to all in a friendly, accepting manner; communicate in a positive and professional way to patients and co workers; use time effectively and efficiently; and demonstrate an overall high level of performance. Provides administrative assistance to the member(s) of the Leadership Team assigned to. Specialized Responsibilities: (This list may not include all of the duties assigned) - Performs secretarial duties for administrative and management staff, including taking dictation, transcribing correspondence and reports, and proofreading typed material.
- Indexes and files correspondence records and reports.
- Orders supplies and equipment.
- Receives and assists visitors and telephone callers, referring them to appropriate individuals.
- Maintains calendar and arranges meetings. Answers inquires and makes travel arrangements.
- Assists with special projects, strategic plan and budget preparation.
- Maintains files related to legal matters and prepares summary for management and board.
- Attends meetings as assigned, types minutes of the meetings and reports on actions.
- Participates in professional development activities to keep current with health care administration practices.
- Coordinates schedule and appointments.
- Maintains strictest confidentiality.
- Performs related work as required.
Performance Requirements: - Must be able to multi-task in a fast-paced environment.
- Skill in written and verbal communication.
- Skill in gathering and reporting information.
- Ability to work effectively with staff, patients, the public and external agencies.
- Ability to exercise initiative, problem solving, decision making.
- Ability to type 60 wpm.
- Knowledge of organization policies, procedures, systems.
- Knowledge of health care administration practices.
- Knowledge of grammar, spelling, and punctuation to type from draft copy.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
Education/Experience/Certifications: - Associate degree in business administration or secretarial practices.
- Four years of secretarial experience including one year in a health care organization.
- Word processing computer experience, to include Office Word, Excel, Power Point, etc.
Non-Essential Duties: Other duties as assigned. Typical Working Conditions: Work is performed in an office environment. Involves frequent contact with staff and the public. Work may be stressful at times. Contact may involve dealing with angry or upset people. Typical Physical Demands: Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight correctable to 20/30 to prepare and communicate appropriate reports. Requires lifting papers or boxes up to 50 pounds occasionally. Requires dexterity to type 60wpm.
