Brief Description of Job Responsibilities:

Providing exceptional care for our patients as well as recognizing the value of your co-workers is the expectation of all members of the Prevea Clinic organization. All members are expected to focus on the patient`s needs; relate to all in a friendly, accepting manner; communicate in a positive and professional way to patients and co workers; use time effectively and efficiently; and demonstrate an overall high level of performance.

Specialized Responsibilities:

  • Assist Audiologists with completion of purchase agreement forms.
  • Maintain a system for hearing aid checks/repairs and completion of new orders.
  • Maintain inventory of department.
  • Supply/invoice management.
  • Prepare charts for upcoming appointments.
  • Follow-up phone calls to patients.
  • Communicate with providers regarding patient calls.
  • Complete referral forms, and make referral appointments.
  • Collaboration with audiologists on form and document development.
  • Maintenance and organization of audiology suites and lab.
  • Support to other specialty departments as needed.
  • Provide walk-in hearing aid services to hearing aid patients.
  • Trouble shoot hearing aid repair drop offs.
  • Assistant patients with orientation and education of new hearing aids.
  • Obtain case history information as needed for patient visits.
  • Travel to outreach clinics to provide support to audiologist, assist with patient check in and provide hearing aid drop off services.
  • Assist audiologist with team-testing of pediatric patients.
  • Pre-program new hearing aids and re-program hearing aid repairs.
  • Serves as a liaison between patient and medical support staff.
  • Makes a positive first impression on any person utilizing the Prevea Health services, whether on the phone or in person.
  • Assist caller with their medical and non-medical concerns and delegate their needs as appropriate.
  • Attend meetings as required and follow the policies of the organization as described in the handbook
  • Room Patients.
  • Obtain brief patient history and complaint.
  • Complete referral forms, and make referral appointments
  • Support at marketing or outreach events.
  • Obtain and update accurate demographic and insurance/coverage information.
  • Communicate with doctors, hospitals, and nursing homes. Messages should be dispatched to the on-call doctors as appropriate based on the set protocols.
  • Assist caller with their medical and non-medical concerns and delegate their needs as appropriate.
  • Schedule appointments for patients following department protocols.
  • Provide completed PSR deposits to FSR.
  • Complete Work queues on a daily basis.
  • Collect any required payments in accordance with Prevea Policies and Procedures.
  • Confirm/schedule appointments using Phytel.
  • Work closely with patient accounts regarding patients who are negligent on their bill.
  • General office support such as scanning or filing.

  • Ability to answer the telephone in a pleasant, timely and helpful manner.
  • Ability to speak clearly, concisely and professionally.
  • Ability to read, understand and follow oral and written instruction.
  • Ability to establish and maintain effective working relationships with patients, employees and the public.
  • Ability to multi-task in and efficient and effective manner.
  • Maintain work area in neat and orderly manner.
  • Must be willing to work at all locations, various shifts and extended hours as needed.


  • High School Diploma/GED
  • Excellent communication skills.
  • Proficiency with Microsoft Office/Powerpoint

Non-Essential Duties:

Other duties as assigned.

Typical Working Conditions:

Combination of medical office and exam/procedure room settings. Possible exposure to communicable diseases, toxic substances, medicinal preparations and other conditions common to a clinic environment.

Typical Physical Demands:

Requires full range of body motion including manual and finger dexterity and eye-hand coordination. Frequent standing and walking required for extended periods of time. Ability to carry items up to 50 pounds. Requires full range of body motion including handling and lifting. Must be able to lift up to 30 pounds of supplies. Requires normal visual acuity and hearing. Requires exposure to bodily fluids. Also requires ability to use standard keyboard and mouse and work with computer screen for some continuous periods. Requires the ability to stand for long periods of time as well as sitting for long periods of time. Vision must be correctable to 20/30 and hearing must be within normal range.
