JOB DESCRIPTION

Job Description:

  • Oversees, manages, and supports processing all payroll transactions for weekly Collective Bargaining Unit (CBU) and biweekly non-CBU payroll
  • Ensures payroll is accurate by reviewing payroll, payroll edits, check proposals, and payroll entries to confirm accurate payments to employees
  • Facilitates new employee payroll onboarding and setup
  • Facilitates employee terminations by ensuring timely processing of final checks, related paperwork, and blocking from future payroll payment
  • Works with company supervisors and managers to diagnosis and solve payroll alignment and rate issues to ensure accurate payment to all employees, and to provide accurate reporting
  • Reviews payroll data entry, including rate changes, deductions, earnings, and other personnel changes
  • Processes CBU and non-CBU 401(k) Fund transfers
  • Facilitates monthly payroll related payments for benefits and related, such as health insurance, union dues, 401k contributions and pension remittance
  • Prepares quarterly and annual payroll tax returns and other payroll-related filings for federal, state, and local authorities
  • Partners with Accounting to ensure all payroll activities are posted to the general ledger and payroll accounts are reconciled timely and accurately
  • Coordinates calendar and fiscal year-end payroll procedures
  • Prepares payroll-related reports for management, including reports showing payroll costs, hours worked, time off accruals, benefit costs, and payroll taxes-in California and out of state
  • Evaluates payroll procedures on a regular basis to ensure the financial risk and the loss of personally identifiable or otherwise confidential information is protected
  • Oversees timely response and processing of income withholding orders, and employment verifications
  • Facilitates payroll information gathering and analysis to support financial, retirement plan, and benefit audits
  • Handles payroll-related correspondence from any Federal and State agency including the IRS and state tax and labor regulation agencies
  • Administers ADP Payroll module for all payroll-related functions, including setting up earnings and deductions codes, assigning security access to users, deploying employee self-service, monitoring, and troubleshooting time clocks, and conducting staff trainings
  • Trains Supervisory staff on employee timesheet management and audits manual timesheet entries to ensure completeness and accuracy
  • Remains up to date on the latest payroll laws and best practices
  • Manages and performs analyses, special projects, and other duties as directed by the Corporate Controller or CFO
QUALIFICATIONS

Qualifications:

  • Bachelors degree in Business Administration, Accounting, Finance, Payroll, or related field required. Advanced degree a plus
  • 5+ years of experience processing payroll in a CBU and non-CBU environment
  • 2+ years of managerial or supervisory experience
  • Experience with payroll accounting practices, compensation and wage structure, workers` compensation payroll reporting, and wage and hour laws
  • Experience with preparing payroll tax returns
  • Bi-lingual and Bi-literate (English/Spanish) preferred
  • Be a team player with strong interpersonal and communication skills including strong internal drive, ethics, conscientiousness, diplomacy, flexibility, and dependability
  • Ability to work in a fast-paced environment, to prioritize tasks, meet multiple deadlines and ensure that work is accomplished in the time frames required
  • Proficient with a large-scale payroll processing platform
  • Strong Microsoft Office skills including advanced Excel (Pivot Tables, Index/Match, Complex Analyses, Excel Models) and Word

Education:
University - Bachelor`s Degree/3-4 Year Degree
