Decommission Coordinator
Job Location: Bowie, MD

This position is responsible for providing administrative support and for all decommission projects assigned by Project Manager. This position is responsible for research for recipient outreach and the vetting of charitable organizations, maintaining project documents, updating all ecoServ metrics, providing information to vendors, subcontractors, and other project team members.

Recipient Outreach

  • Continual outreach/vetting of charities, first responders, throughout the nation/worldwide and continuously educated on program.
  • Builds a network of other venders such as recyclers throughout the nation and Canada

Sustainability Advocacy

  • Identify creative ideas that shared successful EcoServ/rePurpose successes to both internal and external audience.
  • Creates case studies and story boards on a project-by-project level.
  • Works with Team Lead/Acct. Manager when presenting ecoServ program options to clients.
  • Educate and collaborate to highlight creating value with the decommission program.

Project Coordination

  • Provides project management support by entering projects in the system and ensures appropriate documents are obtained and attached.
  • Conduct site walks.
  • Provides SP/Recipients detailed information regarding coordination of pickup of product
  • Provides customer with timely ecoServ metrics certificate and all/any donation receipts upon project completion
  • Maintains ecoServ project metrics for company website
  • Works with service providers on specialized projects when they come to us for help
  • Understanding SOW
  • Maintaining relationship with SP PM on site
  • Providing them with detailed info recycling material content, environmental impact
  • Connecting the dot with recipient matching/pick up
  • Finalizing metrics upon project completion
  • Generates all storage quotes and updates recurring storage quotes in a timely manner
  • Processes POs for jobs under $5,000 ensuring all information matches and complete and ensuring the customer has not exceed credit terms with award of job.
  • Proactively checks receivers and BOM to ensure all product arrives for team jobs
  • Ensures timely scheduling for all jobs under $5,000
  • Requests appropriate COIs and inputs appropriate information and dates and follows-up as necessary
  • Maintains an accurate call date report and requests updates from team members to ensure accuracy
  • Understand and use website reports (NTI, Firm Schedule, Estimated Start Date, etc.).
  • Assists with the maintenance of the PPM and Punch compliance for the team and follows up as needed.

Project Administration

  • Generate emailed quotes and follow up on outstanding quotes for the team.
  • Set job up for success by requesting and attaching appropriate documents to included: BOM, floor plans, blueprints.
  • Close out jobs and ensure appropriate signatures and attachments have been received. Follow up on all missing information and prepare projects for invoicing.
  • Follow up on outdated Ship Dates per Need Product Report to determine true shipping date or if product arrived and ensure dates and ship to information remain accurate.
  • Provide follow-up support on all projects and punch items.
  • Understand and use website reports (NTI, Firm Schedule, Estimated Start Date, etc.).
  • Maintain PPM and Punch compliance for the team and follows up as needed.
  • Ensures Service Provider Evaluation has been completed and follows-up with appropriate Project Manager to ensure accuracy.

Supervisory Responsibility

No direct supervisory duties.

Work Environment

This job generally operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This position requires standard hours and rarely requires weekend work.

Travel - 5%

Some local travel required for site walks.

Required Education and Experience

  • High school graduation, or its equivalent.
  • Three (3) years customer service experience.

Preferred Education and Experience

  • Bachelor's degree from an accredited college or university.
  • Two (2) years professional project management support experience within a directly related service industry.
  • Experience and passion for working with Non-Profit organizations a plus!
