A support position that manages the administrative
functions of a small Public Affairs office. Including:
• Communication Management: create and execute a
methodology for receiving, tracking, and handling
communications from incoming phone calls, emails,
and personal visits. As requested, draft written
communications for editing.
• Project Tracking System: track and log assignments
for team members, their actions, and the
paper/reports associated with responses.
• Time Management: manage and book appointments in a
way that allows them to balance requirements of
analytical time, communication and relationship
loads.
• Relationship Management: build relationships with
key internal contacts to enable timely and effective
execution of tasks and appropriate representation of
the office. Build relationships with key external
contacts to assist team with execution of duties.
• Travel: manage and book travel arrangements to
create maximum profitable use of time.
• Special Project Management: assist with projects on
an as needed basis..
• Performing various administrative tasks including
mailings, invoice preparation, mail distribution,
courier and overnight package shipping &
receiving.
• Create charts and systems for historic tracking of
key facts/data related to Koch Industries, Inc. and
Koch companies.
• Proactively seek out ways to improve systems,
eliminate waste and create added efficiencies.
• Process invoices and reconcile the Company credit
card.
• Process mail, by stamping and organizing.
• Ensure records management procedures are documented
and employee compliance expectations are
communicated.
• Perform periodic records inventories and gather
information necessary to ensure business records are
managed within compliance standards.
Requirements:
• 3 + years experience as an administrative or
executive assistant within a professional office
environment.
• 1 + year experience scheduling travel arrangements
and accommodations.
• Demonstrated proficiency with Microsoft Outlook,
Word, Excel, and PowerPoint.
• Detail-oriented individual with superior reading
comprehension skills and a dedication to accuracy
and thoroughness.
• Self-directed and able to work independently.
• Strong communication skills including verbal and
writing skills.
• Strong organizational and project management skills.
• Sense of urgency which drives results.
• Strong phone skills and etiquette.
• High level of personal integrity and
confidentiality.
• Intellectual curiosity and ability to learn quickly.
Education Required
• High School Diploma
Education Preferred
• College Degree
