Lead Office Services Associate - Job Description

The Lead Office Services Associate is responsible for oversight of all office services/mailroom, reception, and hospitality support functions provided to the client at a law firm. This position reports to an RR Donnelley Account Manager.

Principal Responsibilities

  • Coordinate site team work schedules, time off schedules, weekend and holiday coverage as well as contingent resources to facilitate timely service response.
  • Assist in managing and directing RR Donnelley site employees in reception and hospitality
  • Liaise with the client contact to evaluate and improve services, address concerns, and ensure timely and accurate project completions.
  • In conjunction with the Account Manager, participate in evaluating service and support levels at the site.
  • Ensure all work is performed according to client specifications, meeting and exceeding expectations.
  • Apply skillful leadership, best practices, and sound judgment in all dealings with the site support services staff and with your approach to maintaining exemplary service and support to the site.
  • Follow procedures to run print jobs, punch, and bind printed materials
  • Performs key ops procedures on office reprographics equipment
  • Troubleshootsproblems with reprographics equipment and places service calls as required
  • Receives, sorts and delivers incoming mail
  • Prepares overnight deliveries, affixes postage to outgoing mail, and maintains records on postage
  • Performs regular mail runs
  • Maintain inventory of office supplies and order supplies when needed
  • Coordinates work orders, vendors, and purchase orders
  • Coordinates messenger services/deliveries
  • Perform other duties as needed including coverage for other business service functions at the site.
  • Helps with office moves
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing
  • Other duties as assigned including coverage for other business services functions within the site.
  • Handles sensitive and / or confidential documents and information responsibly, and with integrity
  • Fulfillment of document scanning requests
  • Cross train in all service areas and provides backup support as needed.
  • Communicates professionally via email and verbally
  • Ensure all work is performed according to client specifications, meeting and exceeding expectations.
  • Deliver support for specialty projects as required.
  • Monitor and maintain customer and RR Donnelley policies and procedures.
  • May occasionally staff the front desk
  • Maintains a clean and aesthetically pleasing reception area
  • May occasionally greet and register visitors
  • May occasionally answer general office inquiries and directs individual to the appropriate person
  • May occasionally receive telephone calls and assist with placement of calls
  • Orders office supplies and processes invoices
  • Activates security cards
  • May occasionally assist in coordinating conference rooms and dining for meetings
  • May occasionally clean conference rooms after client meetings
  • Enters service requests
  • Ensure onsite team directs suggestions, concerns and issues to appropriate RR Donnelley resources including Site Administrator, Regional Manager, Client Services Director and Human Resources.
  • Deliver support for specialty projects as required.
  • Monitor and maintain customer and RR Donnelley policies and procedures.
  • Job Type: Full-time

Shift: 9:30 AM to 6:30 PM

Required Skills
  • Five years of experience in office support services including, but not limited to, facilities coordination, reception, hospitality, mailroom, and reprographics.
  • Three years of experience in a supervisory or leadership position, ideally overseeing employees in office services, reception, mailroom and hospitality.
  • Experience working in a law firm
  • Microsoft Office Suite including proficiency in Word, Excel, PowerPoint and Outlook.
  • Proven ability to quickly learn proprietary software.
  • Excellent written and verbal communications.
  • Track record of delivering high quality, timely customer services in a demanding environment.
  • Microsoft Word, Excel, PowerPoint
  • Provide premiere service to clients with a can do attitude.
