Founded in 1995, our high- growth client is seeking a candidate for the position of HR Assistant. Our client is a leading national health care consulting company specializing in health information management and professional consulting services.
Job Summary:
Provide administrative support and provide back-up coverage to HR Director, HR Recruiter and/or other members of management in all facets of HR to include: recruitment and selection (to include on-boarding paperwork; recon of employee benefits and payments; Payroll and payroll related matters (i.e. processing of benefits; recon of fringe benefits; main P.O.C. for ADP; compensation (i.e. processing of performance evaluations and increases to include retro amounts; coordinating performance due dates; employee relations (i.e. Tier 1 ER matters; benefit concerns, basic leave requests and follow-up, etc..); Data mining of information housed and reports produced in ADP and/or other HR systems; and 401K administrator (i.e. ensure proper enrollment; and other HR and our management related duties as assigned.
Duties and Responsibilities:
- Familiarity with the developing field of human resource practices, laws (both Federal, State and Local) and the ability to research and/or stay informed about legislative changes and or best practices. (i.e. Job Posting requirements, job specifications and skills required, etc..).
- Provides administrative support to the HR Director, HR Recruiter in the areas of staffing and recruitment to include: offer letters and new hire packets; systems transactions related to new hires and/or rehires; reconciliation of all HR related data and required forms and follow-up as necessary; random systems audits and tracking of data to ensure integrity; and participation and support of contract related audits on any personnel related documents; areas.
- Maintains accurate and timely data in ADP as it relates to PAF - increases; performance evaluations; new hires; terminations; fringe benefits, etc.. Serves as the primary resource for tracking CEU reimbursements and related personnel changes (i.e. SPOT Awards; bonuses; etc..). Will serve as the secondary resource for ensuring benefits are properly processed in various systems for hires, terminations and qualified life status changes.
- Assist with bi-weekly and semi-monthly payroll transactions to include: timely processing of all transactions (new hires – within 2 days of start) and submission to Staff Accountant at least 2 days before Payroll close; recon of proper deductions and withholdings; recon of all payroll related items to ensure accurate and timely processing of payroll. Checks and balances of all deductions and changes to ensure 0-2% error rate.
- 401K Administrator – Will serve as primary resource for ensuring all 401K deferrals are properly administered and processed in a timely manner (i.e. within 2 days of payroll end, per regulations).
- Ensure follow-up and documented close out of any and all personnel transactions (PAF, 401K, employee questions/concerns; benefit enrollment/terminations).
- Ability to provide ADP and/or systems or Excel reports as required for required reporting; government reporting; compliance reports and/or internal/external audits
- As needed, serve as secondary resource for other HR related functions to include: Leave administration and return; Background & Drug Screening reports; posting of HR ads/job fairs, etc; offers to candidates; assistance with disciplinary action and tracking; and/or provide briefings and trainings on topics of interest as required.
- Administrative support to the HR department to include, but not limited to; proper filing of I-9 and other government reports; proper data warehousing of personnel records while maintaining confidentiality; generation of offer packages (contract specific); and filing. Prompt response to employee inquiries and concerns (response or status within 24-48 hours and include documentation).

Abilities:
- Effective communication skills.
- Ability to work with high degree of precision, paying attention to detail to achieve the high accuracy levels required and timely follow-up and close-out of all matters.
- Ability to communicate well, both orally and in writing to minimize confusion and additional concerns. Ability to work effectively as a team member and escalating matters of significance to the HR Director.
- Ability to maintain confidentiality. Willingness for continued education in the industry to better understand Human Resource Management.
- Demonstrate leadership and employee development skills.
- Advanced analytical and critical thinking skills.
- Skilled in examining and re-engineering operations and procedures, and formulating new strategies and procedures.
- Ability to research, develop, plan and implement processes and procedures.
Education:
- Required Bachelor's degree in Human Resources and/or Business Administration or related field and at least one (1) year experience in an HR department or related area.
Other Work Requirements:
- An occasional requirement to work overtime.
- Direct reports will be mostly clerical, so the candidate must have a comfort- level with handling the accountant/bookkeeper duties.
