Overview

Haines & Kibblehouse, Inc. is seeking a highly motivated Construction Office Administrator for their Philadelphia Airport Project! Develop skills required of construction office administrator to support the project manager and team in the administration of the construction project office to include but not be limited to development of charts, graphs, cost effectiveness. Maintain construction reports for rental agreements, reports, time reports, cost report, quantity and purchasing reports, material, and supply orders. The office administrator's focus will be the result that is, the generation of reports necessary to assist the project manager and team in running an efficient project office, and all input to generate such reports on the computer.

Responsibilities

Essential Duties and Responsibilities

  • Works directly with the project manager and project supervisor providing reports, inputting/review, and compliance of the following duties: Invoices for Truck Rental, Certificate of Compliance for materials received and tracking estimates in eBuilder and update Estimate Tracking, managing submittals in eBuilder.


  • Manages assigned project with independence, ability to prioritize multiple projects and disseminate information.


  • Responsible for documentation and data entry for all office correspondence.


  • Assist with administrative duties.


  • Performs other duties as assigned.


  • Assist the Human Resource Department with new hire paperwork such as form I-9 and E-Verify.

Qualifications

Education and/or Experience

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
