MarineMax is seeking a Lease Administrator and Executive Administrative Assistant to join our corporate office located in Clearwater, FL. This person will be responsible for performing the day-to-day activities related to the administration of leased and owned properties, including keeping track of rent payments, critical dates, abstracting critical lease information, entering data into lease database, managing records related to capital expenditure projects and related clerical tasks for the administration of the leased and owned property portfolio.

KEY TASKS:
  • Responsible for managing portfolio of leased and owned properties including, but not limited to: monitoring deadlines related to lease extensions and expirations; drafting lease renewals, amendments, abstracts, estoppel certificates, SNDA’s and related communications utilizing existing templates; and calculation of CAM payments and rent reconciliations.
  • Acts as liaison between landlords/tenants and Vice President of Real Estate with regard to new leases, capital expenditure projects, relocations, remodels, tenant improvement allowance collection, percentage rent requirements and all on-going property management concerns.
  • Manages and updates lease database, communicates critical information to key internal team members, and works closely with other departments and team members from Legal, Operations and Accounting.
  • Review and maintain Consumer Price Index tables and process annual CPI rent escalations.
  • Responsible for additional administrative duties to support the real estate department, including scanning and storing lease and capital expenditure related documents, correspondence, and routing of checks.
  • Assist and support Vice President of Real Estate and Chief Accounting Officer and staff by carrying out administrative assignments as required.
  • Prepare requisitions, purchase orders, expense reports, purchase card reconciliations, financial reports and make travel arrangements for assigned personnel.
  • Other duties as requested, directed or assigned.

QUALIFICATIONS:
  • Bachelor degree OR equivalent work experience required,
  • 3-4 years of administrative experience working with deadlines
  • Experience reading, comprehending, and interpreting commercial lease documents
  • Experience with analyzing and problem solving
  • Intermediate level proficiency with Microsoft Word, Excel, Outlook and PowerPoint
  • Experience managing a Lease Database and proficiency with LeaseQuery Software preferred
  • Intermediate level math skills, with the ability to calculate and review prorated billings
