Assistant Product Specialist - Safety Eyewear & Hearing Protection

Description:

The Assistant Product Specialist partners with the Product Manager to develop, manage, and grow the Safety Eyewear and Hearing Protection categories. This role is key to assisting the development process to meet gross margin goals of new product introductions / product line additions, and maintenance of discontinued products information. The Assistant Product Specialist is the key coordinator and facilitator among cross functional departments such as Sales, Purchasing, Operations, Suppliers and Accounting to consistently deliver on Product Management / Launch objectives. The position coordinates daily activities within assigned Product Managers responsibilities and serves as a resource among other Product Managers as needed, as well as performs other duties as assigned.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

  1. Coordinating, completing and submitting with Product Managers and cross functional departments all new item set up which includes
  • New Item Set Up form
  • Product Specification
  • Product Artwork (Insert Card, Hang Card, Collar Tags, Warnings IFUs)
  • Package Master
  • Testing requirements for Quality Control
  • Cost Build Ups with Master Specifications

2. Responsible for product group maintenance

  • Set up new groups in P21 and correct GL accounts are assigned

3. Responsible for coordinating, completing and submitting, to Purchasing, all new Supplier Set Up requests, including:

  • Supplier Agreements
  • Vendor Payment Request
  • General Terms and Conditions
  • Supplier Qualification Questionnaire
  • Social and Ethical Compliance Agreement
  • Supplier Approval forms
  • Prop 65 forms
  • Master factory files
  • Rebate Agreements
  • Supplier Agreements- signed and updated
  • Terms to be updated

4. Responsible for updating and distributing the New Product Release-

  • Coordinate with all Product Managers and Marketing and distribute by the 5th of every month

5. Responsible for managing all sample requests and sample approvals from Product Managers, going to and from all vendors

  • Manage an internal log book of when request came in and where shipped, including AWB#
  • Manage an internal log book of when samples are being shipped to us, by vendors, including AWB#
  • Log samples in, comments out to factories in a precise manner and with a sense of urgency as needed
  • Responsible for all tracking and completing all shipping forms

6. Provide reporting as needed by Product Managers (PHOCAS P21)

  • Inventory Levels
  • Sales Trends
  • Margins

7. Responsible for coordinating, completing and submitting a monthly Discontinued List with Product Managers, including the following:

  • Identify items to be discontinued and communicate with cross functional departments
  • Communicate to Purchasing Mark as Not to be Replenished in P21
  • Add to discontinued item list
  • Work with Product Manager on Pricing
  • Coordinate with Marketing to prepare of sales material needed to facilitate liquidation of discontinued items
  • Distribute a monthly progress report by SKU

8. Responsible for maintaining and updating the style files for each category on the master server, including:

  • Creating a master list and compiling a status report for each required document below
  • Facilitating and coordinating with the Product Manager and Marketing all packaging incoming and outgoing to get all styles completed product specifications, cost build ups, packaging master, certifications.

9. Responsible for initiating Project Management process from concept approval to product launch by tracking internal document flow, including:

  • Managing the document flow, e.g. from Packaging Masters to Quality Control to Product Managers
  • Maintaining precise account of when documents are passed from department to department, responsibilities need to be completed, potential contingencies, etc.
  • Eliminate any roadblocks and ensure flawless communication

10. Other duties as assigned

EDUCATION and/or EXPERIENCE:

  • Bachelor Degree and 3+ years product design and development and/or project management experience OR equivalent combination of education and experience


LANGUAGE SKILLS:

  • Ability to read, analyze and interpret general business literature and/or training materials
  • Ability to write reports, business correspondence, and procedures
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers and vendors
  • Ability to give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
  • Communicating effectively in writing as appropriate for the needs of the audience
  • Must have the ability to establish and maintain interpersonal relationship and communicate with persons outside the organization in a professional manner.


MATHEMATICAL SKILLS:

  • Ability to work with mathematical concepts to solve problems
  • Must be able to apply concepts such as fractions, percentages and proportions to practical situations


REASONING ABILITY:

  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables

OTHER SKILLS and ABILITIES:

  • Must be PC literate
  • Must have demonstrated organizational and interpersonal skills
  • Experience using a computer application to manage large amounts of information, including creating and editing simple databases, inputting data, retrieving specific records, and creating reports to communicate the information


PHYSICAL DEMANDS: While performing the duties of this job, the employee has to occasionally stand, stoop, kneel, crouch, or crawl; the employee is frequently required to walk; the employee is required to regularly sit, use hands to finger, handle, or feel, reach with hands and arms, talk or hear.


WORK ENVIRONMENT: The employee is occasionally exposed to the risk of electrical shock
