POSITION SUMMARY (Briefly describe the purpose of the position)

The Clinic Office Manager is responsible for the supervision of the daily non-clinical operations of the Envision Vision Rehabilitation Clinic environment. The Clinic Office Manager works under the direction of the Senior Director of Rehabilitation Services to coordinate patient flow within the clinic and functions as a liaison for the clinic staff and the Senior Director of Rehabilitation Services.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS INCLUDE (List in order of importance)

  • Manage daily operations of the clinic while maintaining a professional workplace
  • Provide assistance as directed by the Senior Director Rehabilitation Clinic in all areas of office flow
  • Promote excellent customer service throughout clinic and all levels of staff
  • Greet and check-in patients for appointments
  • Set appointments for all service providers as directed by the Senior Director Rehabilitation Clinic
  • Send reminder cards and make reminder phone calls to scheduled patients
  • Maintain patient referrals and authorizations
  • Monitor triage calls for the Senior Director and vision rehabilitation professionals
  • Facilitate calls for medical information from doctors offices
  • Perform calls to insurance companies for required authorizations / verifications
  • Maintain total complete confidentiality of medical and financial data
  • Create and update patients electronic medical records
  • Maintain medical records room, including retrieving old records and scanning into electronic medical record for returning patients upcoming appointments
  • Verify and enter patient charges into practice management software
  • Process patient statements on a monthly basis and post insurance payments to patient accounts
  • Perform daily and monthly balancing procedures
  • Document findings related to billing in patient financial history
  • Follow up on filed claims for aging reports
  • File and mail letters out to patients and referring providers
  • Responsible for security of EMR system and fax/server activities
  • Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent re-occurrences
  • Maintain credentialing of providers
  • Assists the Senior Director Rehabilitation Clinic in identifying, developing, implementing and maintaining clinic procedures, policies and process improvements
  • Coordinate logistics for internal and external tours
  • Assist with special projects
  • Provide support and/or coordinate staffing for the clinics Everyday Store
  • Flexibility to perform other duties as assigned



Qualifications

JOB REQUIREMENTS INCLUDE (List as required or preferred)

Education:

  • Associates degree in Business Administration, Health Care Administration or related field required, Bachelors preferred.

Experience:

  • Minimum of 5-7 years in medical office setting required; experience in an ophthalmology/optometrists office preferred; experience working with disability populations helpful.
  • Minimum of 2-3 years in a supervisory or management position
  • Experience with Electronic Medical Records (EMR) or optometric practice management system; Knowledge of CompuLink Advantage a plus
  • Previous retail experience a plus

Knowledge/Skills:

  • Proficient in Microsoft Suite (Word, Excel and Outlook)
  • Knowledge and experience in all aspects of billing
  • Knowledge of regulations related to Medicare, Medicaid and private insurance
  • Working knowledge of HIPAA confidentiality and privacy policies
  • Ability to communicate effectively and professionally with clinicians, patients, patients family members, clinic staff, administration, insurance payers, referring physician offices and the general public
  • Strong customer service skills
  • Ability to multi-task in a fast pace clinic environment
  • Knowledge of maintaining supplies and equipment for the medical setting
  • Skilled in medical database and electronic medical records for Medicare reporting and third party billing
  • Excellent organizational skills and attention to detail; position requires prioritizing tasks and working independently
