POSITION SUMMARY (Briefly describe the purpose of the position)

The Payroll & Benefits Administrator is responsible for the processing and administration of bi-weekly, multi-state, payroll for the organization in compliance with federal regulations, state regulations and company policy. Additionally, the Payroll and Benefits Administrator will act as the primary point of contact for all inquiries related to payroll/timekeeping and assists the HR Manager by providing support with day-to-day administration of company welfare and retirement plans.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS INCLUDE (List in order of importance)

  • Timely prepare and process bi-weekly, multi-state, company payroll by researching, analyzing and resolving discrepancies of payroll information to ensure accuracy and adherence to company policy and procedures.
  • Process a wide variety of payroll information including direct deposits, W-4s, garnishments and levies, retirement contributions, benefits and other deductions to ensure that payroll related transactions are processed in compliance with external and internal policies.
  • Reconciles payroll deposits, tax withholdings, wage garnishments and voluntary deductions by verifying payroll output, checks and reports.
  • Compile timely departmental, financial, tax and payroll reports for both internal and external purposes.
  • Prepare and submit monthly earnings to the Social Security Administration on behalf of eligible employees.
  • Work with payroll service provider and state agencies to reconcile tax inquiries and discrepancies.
  • Reconcile invoices from providers. Reviews billings for accuracy and resolves discrepancies with carriers and vendors.
  • Maintain accurate and updated employee information by timely input into HRMS system.
  • Facilitate year end processing of W-2 wage and tax statements.
  • Ensures compliance with applicable government regulations and stay well informed of all payroll compliance and regulatory changes/updates.
  • Maintain confidential payroll, timekeeping and personnel records.
  • Prepare for and assist external auditors by providing supporting documentation and information on internal departmental processes.
  • Implement and maintain payroll/timekeeping best practices to improve efficiency and consult with Human Resources team to improve payroll/timekeeping processes.
  • Provides support to the HR Manager in administering other HR functions as needed.
  • Flexibility to perform other duties as assigned.



Qualifications

JOB REQUIREMENTS INCLUDE (List as required or preferred)

Education:

  • Bachelors degree in related field; or equivalent practical experience may be considered in lieu of degree

Experience:

  • 4+ years of experience in accounting, payroll and benefits administration

Knowledge/Skills:

  • Advanced computer skills to include data entry, Excel and Outlook.
  • Strong proficiency and experience using web based HRMS applications for processing payroll, benefits enrollment, and timekeeping.
  • Strong initiative with the ability to anticipate issues proactively.
  • Strong analytical skills with the ability to exercise critical thinking.
  • Strong interpersonal skills and ability to collaborate effectively with team members.
  • Ability to interact with individuals from diverse levels within the organization and to provide excellent customer service.
  • Ability to maintain and handle confidential and proprietary business information appropriately.
  • Proven ability to work autonomously, be solution-oriented, and perform well under the pressure of tight deadlines.
  • Excellent written and verbal communication skills.
  • Strong organizational and administrative skills with the ability to perform work accurately with a fierce attention to detail.

Licenses/Certifications: CPP or FPC payroll certification preferred.
