Minimum Training & Experience
A high school diploma, supplemented by three to five years of general clerical or administrative work in a legal/court environment. NCIC certification is required. The equivalent combination of education and related work experience may be considered.
Desirable Knowledge, Skills, & Abilities
Knowledge in the areas of court administration and legal processes, related records, and reports.
Knowledge of modern office practices and technology.
Skill in the use of computers for word and data processing and records management.
Skill and proficiency in clerical, administrative, bookkeeping, and data processing activities.
Ability to prepare forms, records, and reports with accuracy and in a timely manner.
Ability to produce quality work and perform mathematical calculations.
Ability to react calmly and quickly in emergency situations.
Ability to type 40 wpm with accuracy and meet the appropriate clerical testing standards.
Ability to maintain positive customer-focused relationships with co-workers, supervisors, agencies, the general public, and all other internal and external customers. Personally demonstrates appropriate customer service skills.
Specific Duties
Generates NCIC record checks.
Sets up jury trials; completes and distributes related paperwork.
Prepares, processes, types, copies, files, distributes, and/or transmits various court documents and records, including but not limited to Ishmell orders, motions for new trials, return for appeals, continuances, appeals, court transfers, notice of motion, motions to dismiss, subpoenas, summonses, etc.
Issues summonses.
Prepares payroll as required.
Receives and responds to public inquiries, complaints, and requests for assistance.
Performs general clerical work as required, including but not limited to greeting and assisting visitors, answering the telephone, typing reports and correspondence, entering computer data, copying and filing documents, ordering and distributing office supplies, receipting payments, and preparing bank deposit.
Interacts and communicates with various groups and individuals such as the Clerk of Court, co-workers, jail officers, law enforcement officers, Solicitor’s Office personnel, other City personnel, attorneys, court personnel, customers, and the general public.
Refers to policy and procedure manuals, computer manuals, supply catalogs, law books, dockets, etc.
Performs all other duties as may be assigned to meet organizational needs.
